Position Overview

The Dean's Office in the Haskayne School of Business invites applications for a Program Coordinator. This Full-time Fixed Term position is for approximately 2 years (based on length of grant funding), with the possibility of extension.

The Creative Destruction Lab - Rockies (CDL-R) is a cohort-based university-linked new venture accelerator program at the Haskayne School of Business. CDL-R helps innovators transition from science projects to high-growth companies, inviting some of the world's top, early state high technology ventures to Calgary for this innovative 9-month program. After a rigorous application and selection process, the CDL-R program engages senior entrepreneurial leaders as well as noted scientists, engineers, economists, investors and business-school students in support of new venture founders with a goal to prepare these founders for seed stage financing and accelerated growth.

Reporting to the Associate Director (Operations), the Program Coordinator has significant responsibility for supporting the CDL-R's activities around ventures, and with meetings between ventures and G7 Fellows and Associates.  To this end, the incumbent will provide critical support to the development and implementation of CDL-R activities that enhance innovation as a critical element of the brand of the Haskayne School of Business, the City of Calgary, and Canada as a whole. The Program Coordinator will provide leadership in the design and implementation of the selection process (interview day(s)) and all venture meetings (every 8 weeks throughout the 9 month program) and other special events relating to CDL-R and CDL National (as it relates to the CDL-Rockies initiative). The interview day (1 per cohort) and the subsequent venture meetings (5 per cohort) involve multiple stakeholders with varied information and organizational needs and requirements - G7 Fellows, Associates, Guests, venture companies, Chief Scientists and partners.
S/he will be responsible for supporting the development of promotional materials (print, web and presentation) to support the marketing and recruitment process for CDL-R. The Program Coordinator will work closely with the academic Program Offices on issues relating to event scheduling (space) and student engagement. Impact of error: the CDL-R is a high priority and high profile initiative for the Haskayne School Business and the University of Calgary. Program outcomes can be expected to have a significant impact on Haskayne and UCalgary‿s public profile and standing in the eyes of Universities, the start-up & technology sector, and the general public in both Canada and the US. In accordance with its agreement with the CDL at the Rotman School of Management, CDL-R has committed to ambitious multi-year targets for equity value. Failure to meet these objectives will reflect poorly on Haskayne, the University of Calgary, and our investors, partners, and corporate sponsors who are associating themselves with CDL-R. If successful, CDL-R will complement and enhance the other centres of innovation at the University of Calgary and in the community, and will create significant regional economic impact. This position is a part of AUPE bargaining unit and normally works Monday to Friday, 8:30 A.M. to 4:30 P.M, 7 hours per day (35 hours per week), although extended or alternative hours (evenings and weekends) will be required based on the needs of the CDL-R, the G7 Fellows and Associates as well as the venture teams.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Marketing & Recruitment for CDL-R Program:

  • Under the direction of the Associate Director (Operations), and in co-ordination of the CDL-Toronto team, will monitor and maintain a database of venture applications
  • This CRM database will track the progress of ventures from the time they first enter the database throughout their entire business life until they experience a liquidity event, i.e. either go public or are acquired
  • Update the CRM database to identify the firms that will be invited to participate in an interview process with the CDL-R team and the MBA students and update the CRM database to identify which firms will be invited to the first of the G7 meetings
  • Under the direction of the Director, and with support from Haskayne's marketing and communications team, will develop promotional materials that highlight the key activities and accomplishments of CDL-R ventures

Meeting & Special Event Management:

  • Planning and delivery of the CDL-R interview day between the selected ventures and the CDL-R Director, Associate Directors, and Venture Managers and the MBA students
  • Planning and delivery of the meetings that will take place between the ventures and the CDL-R Chief Scientists and Economists
  • Planning and delivery of the CDL-R venture sessions (5 per cohort). The venture sessions have two components:
    • A series of 1-1 meetings between ventures and selected G7 members (50 meetings per venture session)
    • A plenary session between all G7 Fellows and Associates
  • Ensures that the CDL-R "Slack" channel (or alternative technologies) are fully operational for each meeting
  • In the case of interview day and all G7 meetings, will work with Haskayne Marketing, Communications and Community Engagement staff regarding all logistical arrangements for each event
  • Responsible for the planning and implementation of a G7 Fellows and Associates Dinner prior to each venture meeting
  • CDL-R Annual Conference (beginning in year 2 of the program)
  • CDL-R Awards events
  • CDL-R Fundraising events
  • CDL-R Corporate events

Meeting Documentation:

  • Responsible for the development and dissemination of documentation with respect to each meeting or event.  Activities would include:
    • Development of master schedules and event briefs for these activities and events , ensuring timely dissemination to all stakeholders
    • Development of high quality PowerPoint slides


  • Ensures CDL-R Slack channels and Trello boards are up to date
  • Responsible for coordinating the reports on each venture from the Associate Directors and the Venture Managers for both internal and external audiences
  • Supports the Associate Director, Teaching & Learning and the Director relating to the setup and maintenance of the CDL-R course D2L site
  • Manages all SWAG needs for CDL-Rockies

Qualifications / Requirements:

  • Undergraduate university degree required, masters degree preferred
  • Minimum 5 years of experience co-ordinating business activities and events
  • Advanced skills in Microsoft Office programs, including PowerPoint or related presentation software required
  • Advanced skills and knowledge of social media, and emerging communications technologies (i.e. Slack, Trello) required
  • Experience and advanced knowledge with U Calgary PeopleSoft and eProcurement systems preferred
  • Experience with admissions, selection and/or CRM systems an asset
  • Strong organizational skills and attention to detail required
  • Experience working in a high performing team preferred
  • Strong client service orientation required
  • Demonstrated strong communication skills (oral and written) and has experience working in a team environment required
  • Understands and maintains confidentiality, demonstrating diplomacy and good judgment required
  • Highly motivated with strong interest in all aspects of business development and relationship management required
  • Ability to prioritize tasks and manage schedule with competing deadlines and project timelines required
  • Experience working with or in start-up companies preferred
  • Experience managing volunteer groups an asset
