Position Overview

The Dean's Office in the Haskayne School of Business invites applications for a Administrative Coordinator. This Full-time Fixed Term position is for approximately 2 years (based on length of grant funding), with the possibility of extension.

The Creative Destruction Lab - Rockies (CDL-R) is a cohort-based university-linked new venture accelerator program at the Haskayne School of Business. CDL-R helps innovators transition from science projects to high-growth companies, inviting some of the world‿s top, early state high technology ventures to Calgary for this innovative 9-month program. After a rigorous application and selection process, the CDL-R program engages senior entrepreneurial leaders as well as noted scientists, engineers, economists, investors and business-school students in support of new venture founders with a goal to prepare these founders for seed stage financing and accelerated growth.

CDL-R is built upon the original CDL model, developed at the Rotman School of Management at the University of Toronto in 2012 which has to date created over $1Billion in equity value for participating ventures in a four year period of time.  The achievement of this milestone (well beyond the original 5-year goal) is testament to the CDL culture, which we will emulate in CDL-R. The CDL culture is one that engages a team of brilliant people with significant relationship acumen; a strong sales orientation, an innovative mindset and top tier ambition to create the foundation for world class venture acceleration.

This position will provide administrative support to the CDL-R staff and CDL National. The incumbent will need to set priorities while multi-tasking and working independently. Requires mid-level discretionary decision-making as well as the ability to manage multiple tasks to meet deadlines and deal with constant interruptions on a daily basis. Required to interact continuously with students, faculty, staff and donors. Works within a framework of policies and procedures using initiative and judgment.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Administrative Support:

  • Monitors all CDL "Slack" channels and Trello boards, ensuring the CDL-R leadership is aware of CDL partner and CDL-National issues, messages and requirements for information sharing
  • Under the direction of the Associate Directors, updates the CDL Manual on behalf of CDL-R. This involves updates and information sharing on position profiles, recruitment strategies and materials etc
  • Responsible for ensuring that all logistical arrangements for CDL-R Interview Day(s) (room bookings (including classrooms), AV, catering, communications) are set according to event requirements (under the leadership of the Program Coordinator)
  • Responsible for ensuring that all logistical arrangements  (room bookings (including classrooms), AV, catering, communications) for CDL-R Venture Meetings are set  according to meeting requirements for each of 5 meetings for each cohort
  • Supports the CDL-R team by managing calendars, the booking of internal meetings and travel plans as necessary
  • Ensures that all invoices, T&E and PCard Reconciliation, travel claims, purchase orders, cheque requisitions are properly completed and forward to the appropriate office for approval and processing
  • With expenditures approved by the Director, responsible for budget tracking and reporting
  • Prepares agendas and takes minutes for all meetings
  • Prioritizes work, meets deadlines, maintains accuracy and uses creativity and innovation to ensure success in meeting the goals and objectives of CDL-R

Client Services:

  • Supports the marketing and recruitment efforts through the development of an internal engagement list reflecting potential communication partners and start-up hubs
  • Supports the marketing and recruitment efforts for CDL-R through front line engagement with potential venture companies and community organizations
  • Actively participates in social media updates in support of and on behalf of CDL-R activities
  • Ensures that inquiries from donors, partners, Associates, community members, students, faculty and staff inquiries are responded to in a prompt, courteous and professional manner
  • Liaises with the Haskayne Marketing/Communication team on social media, new stories and web updates for the Centres

Qualifications / Requirements:

  • Undergraduate degree or equivalent combination of skills and experience
  • 3 - 5 years of progressive administrative experience, preferably at the University of Calgary
  • Experience working with or for a start-up venture an asset
  • Experience in event planning and implementation an asset
  • Experience in sales an asset
  • Intermediate/advanced skills in Microsoft Office programs, including PowerPoint or related presentation software required
  • Advanced skills and knowledge of social media, and emerging communications technologies (i.e. Slack, Trello) required
  • Experience and advanced knowledge with U Calgary PeopleSoft and eProcurement systems preferred
  • Experience with admissions and/or CRM systems an asset
  • Strong organizational skills required
  • Strong client service orientation required
  • Demonstrated strong communication skills (oral and written) and has experience working in a team environment required
  • Understands and maintains confidentiality, demonstrating diplomacy and good judgment required
  • Ability to prioritize tasks and manage schedule with competing deadlines and project timelines required
