Position Overview

The Dean's Office in the Haskayne School of Business is currently seeking a Full-time Limited Term Program Coordinator, New Programs for approximately 12 months.

The Program Coordinator, New Programs works closely with the Associate Dean (Strategic Initiatives) and Directors of new programs as well as the Administrator of the Ph.D. program, and staff in the Marketing-Communications and M.B.A. office. This position will also need to work with individuals from international universities and so must have an exceptional ability for dealing with diverse cultures, and in all aspects business protocol. The Program Coordinator, New Programs is responsible for the successful implementation of the new graduate programs: DBA Program, Master in Management, Masters Certificates etc. The Program Coordinator will also be responsible for documentation and update of all administrative processes associated with the new graduate programs program. The Director will collaborate with other staff and faculty members to develop the appropriate schedule of courses and activities. S/he will also work with other staff members to ensure that all administrative processes are in place to ensure the application process as well as students and graduates meet the Faculty of Graduate Studies requirements.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

New Program Development:

  • Work with Associate Dean (Strategic Initiatives) in developing proposals for new degrees
  • Work with members from the Faculty of Graduate Studies and other Faculties to identify areas of collaboration for new programs
  • Research the academic content of other university programs similar to the ones being considered by HSB
  • Work with Area Chairs and Program Committees to develop academic content for new degrees
  • Support the development of opportunities for collaboration and partnership with leading national and international academic institutions and organizations active in identified in HSB programs
  • Actively participate in writing and gathering the information required to complete the Alberta Enterprise and Advanced Education Proposal Template for new degrees, Diploma, Certificate and Non-credential Programs 
  • Participate in stakeholder interviews to gather key employer related data
  • Assist in incorporating the analyzed data from employer interviews and other stakeholder groups
  • Conduct research on programs offered by other institutions
  • Formalize and implement program policies and procedures
  • Assist in the development of marketing materials for the new programs (both in print and web), for local, national and international markets
  • Advise potential students on admission requirement and application procedures

Student Engagement:

  • Act as a liaison between faculty, students and the university community
  • Develop appropriate non-academic and academic networking and knowledge building activities, with other groups in the university and faculty communities
  • Inform Directors of new programs about student needs and implication for policy, student services and operations, and makes associated recommendations to improve the quality of the program and its delivery

Community Engagement:

  • Work with partner schools in developing exchange courses, ensuring external students have successful experience
  • Collaborate with other Faculties and Universities to ensure that the new ;program are complementing their exiting undergrad  and attractive to their graduates

Qualifications / Requirements:

  • Master's degree is preferred
  • 5 - 7 years in an academic environment, ideally in a marketing/communications or scheduling role
  • Extensive experience in developing and coordinating projects
  • Proven collaborative and project planning skills
  • Must have a high level of tact and professionalism as well as a strong work ethic and positive attitude
  • Demonstrated ability to move processes forward to meet key deadlines for approvals
  • Ability to set priorities and to exercise high degree of judgement, initiative and diplomacy when required
  • Proven organizational, analytical and problem solving skills, including the ability to schedule and coordinate events
  • Advanced writing skills combined with ability to gather information from various resources, prepare and edit documents to a high standard
  • Must have superior customer service skills and ability to exercise judgment with established guidelines
  • Excellent communication skills and the ability to establish, maintain and grow effective collegial relationships in a post-secondary environment
  • Must be able to remain calm in demanding situations, and appropriately deal with stress resulting from those situations
  • Proven ability to work independently but also in a highly collaborative fashion with individuals across the organization and other stakeholders
  • Proven advanced skills in Microsoft Office Suite (Word, Outlook, Excel, Powerpoint), Peoplesoft and eProcurement Systems
  • Must have a clear speaking voice, strong listening skills, and an ability to ask questions to clarify and request information
  • Proven ability to use discretion with confidential material
  • Understanding of the reporting, organizational and governance structures within the university and Haskayne School of business would be an asset
  • Must be open to learning and development, and be willing to accept new challenges and assignments
